Office Administrator


Budapest / Part-time – 20h

Position Type: indefinite, with 3 months’ probation period

Working Location: 1113 Budapest, Bocskai út 134-146. 

Working Hours: 20 hours / week – PART TIME 

 

Tasks and responsibilities  

  • Perform the General office management and the day-to-day administrative work 
  • Support HR with On/Offboarding processes  
  • Support teams with scanning the incoming invoices 
  • Workplace health and safety documentation 
  • Mail handling – incoming and outgoing 
  • Office supplies procurement – coffee, fruit, chocolate, kitchen supplies, stationery, etc. 
  • Maintenance tasks – keeping track of maintenance dates for the air conditioning, and other equipment. 
  • Liaison responsibilities – building management, cleaners/gardener (handling invoices). 
  • Ensuring order and cleanliness in the Budapest office 
  • Coordinating potential new office search (and relocation) 
  • Managing fixed asset inventory 
  • Take responsibility for the company mobile phone related tasks and service provider’s contract 
  • Coordinating procurement of fixed assets 
  • Creating and organizing regular social activities for colleagues working in, or connected to the Budapest office 
  • Managing and coordinating internal satisfaction surveys in our Odoo (ERP) system 
  • Meet and greet – partners, vendors, colleagues, guests… 

 

Necessary for the role 

  • Fluent Hungarian and proficient English (German is an advantage but not required)
  • Excellent communication skills, proactive attitude, and a team player 
  • Very good knowledge of the MS Office package (especially Word and Excel) 
  • Experience in SharePoint use  
  • Reliable, accurate and structured way of working 
  • 6-12 months’ work experience in a similar role
